Privacy Policy

1. Who we are

Frederic James is a specialist private brokerage representing buyers and sellers of exceptional vehicles across the United Kingdom, Europe and the United States. For the purpose of UK GDPR and EU GDPR, Frederic James acts as the data controller for personal data collected through this platform.

2. Information we collect

We collect information you provide directly — including your name, email, telephone number, enquiry details, identification documents required for bidder approval, and any transaction documentation exchanged through the Deal Room. We also collect limited technical data such as IP address, browser type and session information.

3. Lawful basis for processing

We process personal data on the basis of (a) performance of a contract or pre-contractual enquiry, (b) our legitimate interests in operating a discreet brokerage and transaction service, (c) compliance with legal obligations including anti-money-laundering checks, and (d) your consent where required, including for non-essential cookies.

4. How we use your information

Personal data is used to respond to enquiries, qualify bidders, manage transactions through the Deal Room, comply with KYC and AML obligations, and communicate with you regarding opportunities you have asked to hear about. We do not sell personal data.

5. International transfers

Some service providers we rely on (including secure hosting, email delivery and authentication infrastructure) may process data outside the UK or EEA. Where this occurs we rely on Standard Contractual Clauses or equivalent safeguards approved under UK GDPR and EU GDPR.

6. Retention

We retain personal data for as long as necessary to fulfil the purposes set out above, including any legal, accounting or reporting requirements. Transaction records and customer due diligence documentation are retained for a minimum of five years from the end of the business relationship in line with the UK Money Laundering Regulations 2017. 7. Your rights

You have the right to access, rectify, erase, restrict or object to our processing of your personal data, and the right to data portability. To exercise these rights, write to our privacy contact at privacy@frederic-james.com. We aim to respond within one calendar month of receiving a verified request, as required by Article 12 UK/EU GDPR. You may also lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk or your local EU supervisory authority.

8. Data breaches

Frederic James maintains an internal Data Breach Response Procedure. Where a personal data breach is likely to result in a risk to your rights and freedoms, we will notify the UK ICO (and any relevant EU supervisory authority) within 72 hours of becoming aware, and will notify affected individuals without undue delay where the breach is likely to result in a high risk.

9. Security

All Deal Room activity, document exchange and authentication is conducted over encrypted channels with role-based access controls. We follow industry best-practice in storing credentials, including protection against known compromised passwords.
